B_wed #13: Safety Checklist for Events Happening in 2020!

There is no doubt that people want to celebrate special occasions, but the most important thing is to ensure events are safe and adhere to local and government regulations. If you are unsure of how to navigate the uncharted territory of events during the COVID-19 pandemic, read on for 8 must-dos ensure a safe event.

1. Check local and federal government regulations.

It is important that any upcoming event adheres to regulations from local and federal governments, as well the Center for Disease Control (CDC) and World Health Organization (WHO). Guidelines are changing every day so make sure to double check the state and even your local towns government website for what regulations that will apply at the time of the event.

2. Make any pre-event meetings virtual instead of in-person.

We are all used to virtual meetings these days through Zoom, FaceTime, and other online platforms, so have a virtual call with your vendors, as a party host, before booking or event day to ensure a easy and smooth operating party.

3. Share your safety plans with your guests ahead of the event date.

Party hosts should share what safety precautions they will be following at the event and expect guests to follow. Even if the requirements for guests is just wear a mask when approaching me, remain 6 feet away, etc. it is important for it guests to know prior to the event. Ensure there is two-way communication about all safety protocols that will be enforced prior to the event so there are no surprises on the day of.

4. Be in constant communication with vendors.

Leading up to the event, there should be multiple check-ins between you and your vendors to ensure the event is not impacted by new regulations or health concerns. The safety of your vendors, yourself and guests is most important and should remain the priority throughout the planning and booking process.

5. Enforce appropriate safety measures.

This may differ depending on many circumstances like the type of the event, the location, current regulations, and more. However, we are most commonly seeing hosts and guests implementing the use of masks and / or face shields, using hand sanitizer regularly and following proper hand washing techniques as well as adhering to the 6-feet social distancing suggestion during the entire event.

6. Consider adding clear signage at the event.

To help reinforce safety measures and to remind your guests of guidelines, consider putting up some signage at your event as an option. This could be putting up signs to inform guests of your rules before being approached or this could be having signs upon arrival informing guests about seating, social distancing, mask wearing, hand sanitizer locations and more!

7. Remain flexible and be understanding.

It is an extremely difficult and stressful time for everyone. We vendors really want to be out performing and making money again while we understand that people want to be out celebrating their special occasions that they may have been planning for months or even years. But please remember that these are unprecedented times and to try and remain flexible and understanding throughout the process.

8. Take advantage of online payments.

For us we make it really easy for party hosts to pay any deposits and balance payments online. All our paperwork is now digital and taking advantage of our online portal is free to use, secure, and helps to avoid any physical transfer of money. We are currently trying our best to avoid any day-of transactions to not only avoid having to handle currency but avoid the stress of having to pay us so that you can enjoy every single moment of your event!

Events may certainly look a little different this year due to COVID-19, but the good news is that you can still safely celebrate with many people starting to party again!
